How the calculation works

An hourly cost per person is the annual salary divided by the working hours in a year, or the hourly cost you entered, raised by the overhead percentage. The cost of one meeting is that hourly cost, times the number of people, times the meeting’s length plus each person’s follow-up time, in hours. A year is one meeting times how often it happens.

hourly cost = (salary ÷ working hours) × (1 + overhead %)
one meeting = hourly cost × people × (length + follow-up) ÷ 60
one year    = one meeting × meetings a year

The worked example above: a salary of 60,000 over 2,080 working hours is about 28.85 an hour. Six people for sixty minutes cost about 173 a meeting, and 52 weekly meetings cost about 9,000 a year. The defaults leave overhead and follow-up at zero, because any other number would be a guess about your organisation.

Every working day counts as 260 meetings a year, five a week for 52 weeks. Salaries vary inside any group, so the result is an estimate to compare meetings with, not a payroll figure.

Making the meetings you keep cost less

The largest cost you can remove is often the one after the meeting: someone rereading notes, writing the summary and typing the tasks into the right app. Recording the meeting and letting every commitment become a card you approve moves that work to a minute of review, and AI meeting notes mean nobody in the room is taking them instead of taking part.
