Client meeting minutes template
The client’s goals in their words, the decisions and scope changes, commitments on both sides, and the open questions you owe an answer to.
Free, no sign-up. The Markdown file also imports into Notion.
When to use it
Use it for a meeting with a client or customer where agreements are made: a kickoff, a review, a scope conversation. Send the client the decisions, commitments and open questions afterwards, so both sides are working from the same record.
What goes in each section
- Purpose. Why the meeting was held, in one sentence.
- What the client said. Their goals, concerns and constraints, in their words where the wording matters.
- Decisions. What was agreed.
- Scope changes. Anything added, removed or changed from the agreed work, and whether it affects cost or dates.
- Commitments. What each side promised, with a date. Keep ours and theirs apart.
- Open questions. What is still unanswered, and who owes the answer.
- Next meeting and follow-up. When you meet next, and the date the follow-up email went out.
A filled example
An invented meeting, to show the level of detail that works.

Let the recording fill it in
Record the meeting on your phone or your own computer, with no bot in the client’s call, and EchoPilot writes the summary, chaptered notes and key points, with a card for every commitment. Approve the ones that are yours into your task app, and approve the follow-up email card to open a draft you check before it goes to the client.
See what a set of Meeting Minutes contains, and how each commitment becomes a card you approve.
