One-on-one meeting notes template
Their topics first, then yours, feedback in both directions, progress on growth goals, and the few actions you both agree to.
Free, no sign-up. The Markdown file also imports into Notion.
When to use it
Use it for a regular one-on-one between a manager and someone who reports to them. The meeting belongs to the report, so their topics come first. Keep the notes somewhere you can both see, and bring last time’s actions to the next meeting.
What goes in each section
- Check-in. How they are, in their words. One line is enough.
- Their topics. What they wanted to talk about, and what you agreed on each.
- Your topics. What you needed to raise.
- Feedback. Specific, in both directions: what to keep doing and what to change.
- Growth and goals. Progress on the goals you agreed, and anything that would help.
- Agreed actions. Few, owned, dated. Review them at the start of the next one-on-one.

Check-in
Busy but fine; the on-call week was heavier than expected.

Use it in Word, Google Docs or Notion
The Word file opens in Microsoft Word, Pages and Google Docs, with the section headings set as real headings, so they appear in the document outline. To use the template in Notion, download the Markdown file, choose Import in Notion’s sidebar, pick Text & Markdown and select the file.
Let the recording fill it in
With both people’s agreement, record the one-on-one with EchoPilot and the notes come back with the topics as chapters, key points and a card for each action you agreed. The recording and minutes are in the account of the person who recorded them; share the notes you both need rather than the recording.
See what a set of Meeting Minutes contains, and how each commitment becomes a card you approve.

Guides
Your next meeting can end with the work already drafted.
Install EchoPilot on the phone or the computer you already work on, record the next conversation you would otherwise try to remember, and read the minutes, the transcript and the drafted actions it gives you back.
