Project meeting minutes template
Status at a glance, what moved since last time, the decisions made, the risks with owners, and the actions that keep the project on track.
Free, no sign-up. The Markdown file also imports into Notion.
When to use it
Use it for a recurring project or status meeting, weekly or fortnightly, where the same people review progress, make decisions and take on work. Keep each meeting to the same shape so anyone can compare this week with last week in a minute.
What goes in each section
- Status summary. Two sentences: where the project stands and why the status is what it is.
- Progress since last meeting. What was finished, not what was worked on.
- Decisions. What was decided, and by whom when it matters. A decision is not a task: record it here even if nobody has to do anything.
- Risks and issues. What could stop the project, how likely and serious it is, who is watching it and what they will do.
- Actions. One owner and one due date per action.
- Next milestones. The next two or three dates that matter.
A filled example
An invented meeting, to show the level of detail that works.

Use it in Word, Google Docs or Notion
The Word file opens in Microsoft Word, Pages and Google Docs, with the section headings set as real headings, so they appear in the document outline. To use the template in Notion, download the Markdown file, choose Import in Notion’s sidebar, pick Text & Markdown and select the file.
Let the recording fill it in
Record the review with EchoPilot and the minutes come back with a summary, chaptered notes, key points and an action card for every commitment. Decisions and open risks come back as sections of their own, each tied to the moment it was said, and approved action cards go straight to your team’s task app, so the actions table is already done.
See what a set of Meeting Minutes contains, and how each commitment becomes a card you approve.
